How can I update an Employee's Pay Frequency and ensure their rates and deductions are correct?
If an employee is changing their Pay Frequency, you'll want to follow these steps to ensure that they are deducted the appropriate amount when you process payroll.
-
First, you'll want to update their Pay Group. Changes to employee Pay Groups are made from the Current Payroll Information portion of an employee's General profile page in HRIS.
-
Click Edit next to Payroll Company to change the employee's Pay Group. Select the appropriate Pay Group from the dropdown menu, and save your changes.
-
Next, you'll want to update their Pay Frequency. Click Compensation and then Edit Entry to adjust the frequency.
-
Finally you'll want to update the employee's benefit rates and any applicable deductions. Namely recommends updating rates and deductions with an Administrator Change. That process is detailed here: Administrator Change Process Guide.
-
If you don't use Namely to manage Benefits, or if the employee has non-benefits related deductions, you'll want to edit their deductions manually from the Deductions page on their Namely Payroll profile.
Making Bulk Updates to Pay Frequency
If you need to update pay frequencies for a number of employees, Namely recommends leveraging our HRIS Import tool to update employee Pay Groups and Pay Frequencies. Details on HRIS Imports can be found here: Reports, Exports, and Imports.
The Namely Service Team can help update your employee Plan Benefits and Deductions, once you've imported new Pay Groups and Pay Frequencies in HRIS. You'll want to submit a case with these two templates to the Service Team:
The Service Team can update employee data en masse with the information provided on the above spreadsheets.
