Can I pay an employee that is taxed in a state I do not have the ID for yet?

Yes, the absence of a Tax ID will not prevent you from processing payroll for an employee who is taxed in a new state. This is a fairly common occurrence, often seen when a new employee is hired who lives or works in a state you have not processed payroll in previously.

In those instances, you'll want to add the state to the employee's tax page as you normally would.

  1. On the Company Tax page, click Edit next to the new tax.

  2. Select Waiting for Tax ID, which will place your tax in Applied For status.

This status lets Namely know that the ID for the tax is pending.

As soon as the ID is received from the agency, return to this page and enter the ID in the Tax ID field. Once the ID is entered, Namely can remit payment to the agency.

For more information on collection of taxes for IDs previously in "applied for" status, see
Automatic Tax Collection for “Applied For” Tax IDs.
