Termination and Rehire Form Updates 

We received great feedback from clients on our new Termination and Rehire Forms and have made a few changes to make them even more valuable in managing your employees’ data.

Rescind Termination

We understand that sometimes plans change—an employee might renegotiate their contract after their termination has been processed—so we’ve introduced a Rescind Termination option that removes termination data from an employee’s profile after the Termination Date on the Termination Form has passed.

  • Clicking Rescind on the Termination Banner will remove the Termination DateTermination Reason, and Pay Through Date from the employee’s profile. The Termination Banner will also be removed.

  • The Rescind Termination button will only display on the Termination Banner after the employee’s Termination Date has passed. Prior to that, you can Cancel the termination with the same results.

  • Once specific termination milestones have passed, some processes cannot be reversed via the Rescind or Cancel Termination buttons. For example, once benefits have been terminated for an employee, they’ll need to be re-enrolled via an administrator change.

  • Any actions that occurred (or did not occur) between the employee’s Termination Date and the day their termination is rescinded—for example, PTO accrual, being included in pay cycles for payroll—will need to be accounted for manually.

Rescind vs. Rehire

When should you rescind a termination versus rehiring the employee?

  • Rescinding a termination clears out termination-related information as outlined above. Use this option when there hasn’t been a break in employment.

  • Rehiring the employee adds a new Start Date to their profile and also allows you to update other profile fields that may have changed. Use this option when there has been a break of employment.

Removal of Payroll Fields from the Rehire Form

Our Rehire Form includes most of the profile fields that are needed to rehire an employee, but there are instances—especially at companies with multiple payroll subsidiaries—where certain payroll-related data needs to be added to an employee’s profile manually. 

To simplify the rehire process for administrators, we’ve removed the payroll fields 
Include in Payroll and Pay Group from the Rehire Form. Those fields can now be entered manually on the General tab of the employee’s profile after the rehire has been submitted along with any other payroll information that needs to be completed.

  • The Salary field is not considered a payroll field and should still be entered on the Rehire Form.

  • Payroll Subsidiary will still appear on the Rehire Form for companies with multiple payroll subsidiaries. You’ll need to select one payroll subsidiary for an employee when submitting the Rehire Form, after which you can assign any additional payroll subsidiaries manually on the General tab of their profile.

Non-Ending Dating of Org Units

We’ve updated the Termination Form to no longer automatically end-date Org Unit assignments to ensure that terminated employees are still included in reporting. If you want to exclude terminated employees from reporting, you can still end-date their Org Unit assignments manually.
