Onboarding Page Refresh
We’re refreshing the onboarding experience by providing a centralized picture of the progress of all new hire onboarding sessions with expanded reporting options.
OVERVIEW
Onboarding is a critical part of the employee and HR team experience. Its importance has been heightened due to the Great Resignation and increased complexity from remote work. As a result, HR professionals are utilizing onboarding now more than ever to scale their ever-changing workforces.
We know that Onboarding doesn’t end when an employee signs their I-9 and W-4. That’s why we’re working to provide an Onboarding experience that goes beyond day one, ensuring that your new hires are set up for success and ready to become valued members of your team. Our vision for our Onboarding Page project is to provide HR teams with the tools they need to manage the entire onboarding process seamlessly, create a personalized experience for employees at a faster rate, and connect their work with other departments and tools.
We’ll be releasing updates to the Onboarding Page throughout the year in a phased approach, with the first phase being One Page for Everything Onboarding, which consolidates all of onboarding to one single page that allows HR teams to manage everything related to onboarding along with the ability to search and filter onboarding sessions, track new hires’ progress, and expanded reporting.
Future phases of this project will include improved onboarding templates that include tax and time off information, the ability to bulk send onboarding sessions, integrated task lists to manage other streams of work, stronger integration of data across the platform, and enhanced personalization options. We’ll update this release note as each phase progresses and alert you to any updates as we’re ready to implement them, but feel free to bookmark this page and check back for updates.
PHASE 1: ONE PAGE FOR EVERYTHING ONBOARDING
The redesigned Onboarding page is your one-stop-shop for everything Onboarding related. HR teams can create templates, onboard new employees, and view the status of all employee onboarding sessions with real-time insights into the progress the employee has made completing relevant information.
Onboarding Progress
Administrators will now have increased visibility into the progress the new hires are making as they are completing their onboarding session. Progress is broken into categories that correspond to the pages that the employee sees as they complete their session: personal info, company docs, eSignature docs, confirmation.
Progress Status
-
Personal info - new hire completing information about themselves
-
Company docs - new hire is reading and/or downloading relevant documents
-
eSignature docs - new hire is electronically signing required documents
-
Confirmation - new hire is reviewing and submitting all information
As the employee completes all relevant information and proceeds to the next page, the progress will be updated in real-time.
Improved Search and Filtering
Search for a specific new hire’s onboarding session by entering their name in the search menu to narrow results.
Manage your employee onboarding sessions with ease by filtering based on the hire date range or the status of the onboarding session: draft, in progress, or completed.
Reporting
Export a CSV file containing the results of the onboarding sessions you have listed on the page by selecting the download list option.
Permissions
Administrators and users with the permission Administer onboarding sessions included in their access role will have access to this page. If a user needs to edit templates, they should also have the permission Edit onboarding templates assigned to their access role.
PHASE 2: NEW HIRE TRACKING TOOLS
Keeping up with your upcoming new hires just got easier with our newest Onboarding tools. HR teams can now view a count of upcoming new hires, send bulk email reminders for those with incomplete sessions, and track the overall status of onboarding sessions for upcoming new hires.
Upcoming New Hires
We’ve streamlined managing upcoming new hires by adding a tool that displays information about new hires starting in the next seven days. Administrators can quickly view if there are new hires that have not completed their onboarding and send a bulk email reminder to each of those employees at once.
TIP:
We’ve added the ability to send unlimited reminder emails in bulk through this tool or individually next to each onboarding session.
If there are no outstanding tasks left for the upcoming new hires, administrators can view their completed onboarding sessions.
New Hire Status
We’ve also added a tool that provides real-time insights into the onboarding status for new hires starting within the next two weeks, or 14 calendar days.
TIP:
This tool defaults to display all onboarding sessions for employees with a start date within two weeks from the current date, but can be adjusted to any time period.
Onboarding Status
-
Draft - Sessions that are currently with the HR team and have not been sent to the employee
-
In Progress - Sessions that have been kicked off by HR and are being completed by the employee
-
Completed - Sessions that have been completed by the HR team and employee
