Duplicate SSN Validations – Release 4/8/2020

We're introducing a new validation to prevent duplicate SSNs within a client company.

To prevent the proliferation of incorrect data, we are implementing a new Social Security number (SSN) validation across all methods of creating and editing employee profiles. These include:

  • Onboarding

  • Manual profile creation

  • Imports

  • API (such as via an applicant tracking system like Greenhouse)

Moving forward, users will receive an error if attempting to enter or save an SSN that already exists in their Namely site.

Please note: This feature is only being released to new clients and existing clients who currently have no duplicate SSNs in their site. This release will not correct any duplicate SSNs currently in the system. Please check Reports > Error Log in Payroll to view any employees with invalid SSNs.

Additionally, we will continue to 
not enforce validations in the following instances:

  • When the SSN has nine digits, contains only numbers, and is unique, but is not an actual SSN registered with the U.S. government. Clients often use fake SSNs for dummy profiles, test profiles, or even employees with pending visas. These entries will not be restricted.

  • When no SSN is entered at all. The SSN field is currently, and will remain, not required.
