Updating Benefits for an Employee Moving from Part-Time to Full-Time

How to update Benefits for an employee moving from Part Time to Full Time in HRIS or Namely Payroll.

OVERVIEW

Updating benefits for an employee who is moving from a Non-Benefits eligible to a Benefits eligible class, most commonly from part-time to full-time, can be accomplished by following the steps detailed below.

ASSIGNING EMPLOYEES TO A PART-TIME CLASS IN HRIS

Step One – Org Units

If your Org Units have been migrated in HRIS, follow the instructions in this section only. If your Org Units have not been migrated, follow both the instructions in this section and the instruction in the following section.

  1. In the employee's HRIS profile, click Manage next to the employee's Class assignment on the General tab.

Note:

If the Class assignment is not visible in this field, please skip these steps and refer to the instructions for Assigning Employees to a Full-Time Class in Namely Payroll (Step Two - Non-Org Units) below.

  1. Click Add Record.

  1. Select the appropriate Start Date of the new class assignment.

  2. Update the Class to the new full time class.

  1. Select Yes or No to "Would you like to use the Benefits Class effective date instead of hire date to calculate benefits waiting period?" 

  • Selecting Yes will base the benefit waiting period off of the effective Start Date you have selected above.

  • Selecting No will base the benefit waiting period off of the Hire Date.


Note:

You will only see this option if the class you have selected to move the employee to is marked as Benefits Eligible on the Company Classes page. View this through Company > Settings > Classes in HRIS. 

  1. Click Save.

ASSIGNING EMPLOYEES TO A PART-TIME CLASS IN NAMELY PAYROLL

Step Two – Non-Org Units

If your Org Units have not yet been migrated yet, please also follow the below instructions to re-classify the employee in Namely Payroll:

  1. View the employee's profile.

  2. Click on the Demographic tab > Add.

  1. Select the appropriate Start Date of the full time assignment.

  2. Update the Class to the new full time class.

  3. Select the checkbox for Override Hire Date (if applicable).

    • Select the checkbox Use Demographic Start Date instead of Hire date to calculate benefit waiting period if the benefit waiting period should be based on the Demographic Start Date you have selected above.

    • Do not select this checkbox if the benefit waiting period should be based on the Hire Date.

  1. Click Save.

ENROLLING IN BENEFITS

Once the employee’s demographics and class assignment is updated as outlined above, the employee will be able to enroll in benefits using the appropriate Qualifying Life Event by clicking Enroll in Benefits from their Namely homepage.
