How will I know if my file has been received by my carrier?
Once approved for production, carriers will ask for a contact to reach out to with any discrepancy reports. If you are a Managed Benefits client, Namely will monitor this report for you. Otherwise, Namely will request for an administrator at your company who will be responsible for this report. These reports can contain any data errors from the last file or it may be empty which indicates there were no errors and the file processed successfully.
My Employee just went through a Qualifying Life Event, how do we send that to the carrier?
Most qualifying life events can be managed right in the Namely system (refer to Managing Qualifying Life Events During Open Enrollmentfor further details). Once the life event is entered, the change will be sent over to the carrier on the next scheduled transfer day.
The scheduled transfer days depend on the file, refer toCan I choose the timing of when a carrier feed is sent?or reach out to the Namely Service Team by submitting a case in the Help Community for clarification of when your next file is scheduled to transfer to the carrier. When submitting a case, please remember to include a specific Product Name and/or Feature so it routes to the appropriate department.
Note: If the change includes an employee or dependent who requires urgent access to care it is best to first reach out to your carrier. The next file transfer may be several days away and we do not want there to be any delays if an employee or dependent requires care.
I need to make changes to my plans due to an upcoming Open Enrollment. Does my EDI feed need to be changed?
Yes, we will need to make changes to your EDI file for the upcoming Open Enrollment. Some cases also require us to send an off-cycle file specifically for Open Enrollment elections. Once you have requested these changes in the Project Services Catalog, an EDI Consultant will contact you.
You will need to provide an updated plan structure to your EDI consultant, this can be requested from your carrier contact. Please make sure to work with your carrier on any information or steps regarding your Open Enrollment as well. If you are a Managed Benefits client, Namely will do this on your behalf.
My employee/dependent has incorrect demographic information. Can you help get it corrected?
In most cases, employee demographic information can be easily corrected. Check the Namely system and verify the data entered is correctly. Once the information has been corrected in the Namely system, it will be sent over to the carrier and overwrite the incorrect data on the next transferred file.
Note: For incorrect Social Security Numbers, it will most likely need to be corrected with the carrier directly. The carrier will usually request some verification of the correct SSN sent to them in addition to fixing the data in the Namely system.
