Setting up HSA contributions for an employee

To add an HSA deduction for an employee, you must access the Earnings tab of the payroll profile for the employee.

First, you must view the Payroll Profile, click the Employee Maintenance list from the CertiPay home page, and select Payroll Profile. The General Info page is displayed. 

To find an employee, click the Find Employee link to open the Employee Lookup window. For more information on using the Employee Lookup window, see Locating an employee profile.

 

Setting up employee and employer deductions

To set up employee and employer deductions, do the following:

  1. Click on the Earnings tab, click the Add link.

  2. Select HSA-Employer Contribution from the Add an Earning window, and click Add.

  3. Ensure that HSA-Employer Contribution is selected, and update the value for the Employer Contribution.

  4. Click on the Deductions tab, click the Add link. 

  5. Select HSA Deduction from the Add a Deduction window, and click Add.

  6. Ensure that HSA Deduction is selected, and update the values for following attributes: 

Deduction Amount

Enter the employee contribution amount.

YTD Goal Amount

Enter the total amount that the employee wants to contribute for the year. 

  1. Click Close when finished. 

 

Direct deposit setup for the employee and employer contributions

  1. Click on the Deductions tab, click the Add link. 

  2. Select HSA - DD from the Add a Deduction window, and click Add.

  3. Populate the value with the employee deduction contribution amount as a negative number.

  4. Click on the Pay Allocation tab, click the Add link

  5. Enter the values for the following fields:

Allocation Type

Select Flat Amount

Amount

The combined amount of the employee and employer contribution.

Pay To

From the drop-down list, select how the allocation is to be distributed:

  • Checking Direct Deposit

  • Saving Direct Deposit

Account Number

Enter the number associated with the bank account.

Routing Number

Enter the bank routing number associated with the account.

Frequency

Specify how frequently the money from the employee's pay will be sent to the specified allocation.

HSA Deposit

Click the HSA Deposit box to indicate that the pay distribution is to an HSA account.

  1. Click the Mark as Prenoted link.

  2. Click Close when finished.
