Entering Pay Allocation (Direct Deposit) for an Employee
Add a new allocation
To create an additional allocation for the employee, click the Add link. The Add a new Employee Distribution window displays.
In the employees pay allocation, the employee can choose to allocate their funds as a net amount, percentage or, Flat amount:
The employee can also choose to have their funds as a paper check, Checking Direct Deposit, or Savings account:
The options for the Add a new Employee Distribution window are the same as on the Pay Allocations tab. For more information about these options, see the Pay allocation information section.
Enter the desired settings, and click Add.
Entering Pay allocation information
To review and update the pay distribution for the employee, click the Pay Allocations tab of the employee's payroll profile.
The current pay distributions are displayed on the left. To view details, select the distribution and
detailed information will display to the right.
Pay allocation information
The following is a list of fields that can be edited from the Pay Allocation tab.
Distribution Type |
From the drop-down list, select how the employee wants to specify the amount to be allocated:
One and only one of the allocations must be set to Net. If Flat Amount or Percentage is selected, then the Amount field is displayed. |
Pay To |
From the drop-down list, select how the allocation is to be distributed:
If Checking Direct Deposit or Saving Direct Deposit is selected, then the Account Number, Routing Number, Frequency, HSA Deposit, and Pay Card Deposit fields are displayed. |
Amount/Percentage |
Specify the amount of money or percentage of the employee's pay is to be sent to the specified allocation. |
Frequency |
From the drop-down list, select how frequently the money from the employee's pay will be sent to the specified allocation. |
HSA Deposit |
Select to indicate that the pay distribution is to an HSA account. Default is cleared. |
Pay Card Deposit |
Select to indicate that the pay distribution is going to a pay card. Default is cleared. |

From the drop-down list, select how the allocation is to be distributed:
If Checking Direct Deposit or Saving Direct Deposit is selected, then the Account Number, Routing Number, Frequency, HSA Deposit, and Pay Card Deposit fields are displayed. |
Account Number |
Enter the number associated with the bank account. |
Routing Number |
Enter the bank routing number associated with the account. |
Date Distribution Went to Promote |
The date when the selected distribution was put through teh prenote process to verify accuracy. |
You can also set up Multiple Pay Allocations for Employee:
For the order in which these go you will have the top pay allocation be the flat or percentage distribution type.
For the bottom pay allocation you will have to have the net amount and make sure that it is the primary pay allocation.
To move the order of the pay allocations you can highlight the one you want to move and press the arrow keys to move up or down.
Make an allocation the primary allocation
By default, the first allocation added to the employee profile is automatically assigned to be the Primary Allocation. To make a new allocation the primary allocation, click to highlight it in the Distribution Type table, and click the Primary link.
Verify an allocation
To verify a pay allocation, click to highlight it in the Distribution Type table, and click the Verify link. CertiPay verifies the bank account associated with the allocation:
A verification window appears confirming that the account has been verified.
Mark the allocation as prenoted
You can mark an account associated with an allocation as already prenoted, so that CertiPay does not need to send a zero file to the bank account associated with the allocation to verify its status.
There is two ways to prenote a pay allocation:
1. The prenote option that CertiPay recommends that pay allocations always go through the prenote process.
If you go through this option you will NOT hit the mark as prenoted button. You will have the Distribution went to Prenote on: (blank) until you process your next payroll. After the payroll is processed you will wait 5 to 10 business days to process and it will either be returned and be a direct deposit return or it will show like this on the pay allocation tab.
Note:
the first check for this employee will be a paper check until it is prenoted
2. If you choose to go with this option you will click to highlight it in the Distribution Type table, and click the Mark as Prenoted link to verify the bank account associated with the allocation.
Delete Pay Allocation
To delete an allocation, click to highlight it in the Distribution Type table, and click the Delete link.
A confirmation window appears, to confirm the deletion of the allocation. Click Yes to confirm.
